About these terms
These terms apply to every tour, package, hotel, transfer and other travel service booked with Nepal Trip Holiday (“we”, “us”), 607, E Power House Road, Shivalay Nagar Mohaddipur, Gorakhpur Uttar Pradesh 273008, through this website, by phone, WhatsApp, email or at our office.
By confirming a booking or paying an advance you (“the traveller”) accept these terms on behalf of everyone travelling with you. The person who makes the booking must be at least 18 years old.
Our role as your tour operator
We plan your trip and book it with independent suppliers – hotels, transport operators, airlines, railways, helicopter operators and local guides. Each supplier runs its service under its own rules and conditions, which also apply to you.
We choose our partners carefully and stay in touch with them during your trip, but we do not own or run their services.
Quotations, prices and inclusions
- Every trip starts with a written quotation that lists exactly what is included and excluded. Anything not listed is not included.
- Prices are in Indian Rupees (₹) per person unless the quotation says otherwise, and include GST only where this is stated.
- Prices on the website are “starting from” prices for the lowest season and hotel category. The final price depends on your dates, group size and the rooms available.
- A quotation is valid for 7 days. Until a booking is confirmed, prices can change with hotel rates, fuel prices, taxes, permit fees or exchange rates.
Booking and payment
- Advance: an advance of 30% of the tour cost (or the amount written on your quotation) confirms the booking. Flights, trains, helicopter seats and peak-season hotels may need to be paid in full at the time of booking.
- Balance: the rest is payable no later than 15 days before departure. For bookings made within 15 days of departure the full amount is due at once.
- Confirmation: your booking is confirmed only when we have received the payment and sent you a written confirmation with your itinerary.
- Payment methods: bank transfer, UPI or other methods we confirm in writing. Always ask for a receipt – we never ask you to pay into a personal account.
If the balance is not received on time, we may treat the booking as cancelled by you and apply the charges of our Refund & Cancellation Policy.
Travel documents and permits
Each traveller is responsible for carrying valid identity and travel documents and for meeting entry, visa and health rules.
- Nepal: Indian citizens need a valid passport or Voter ID card. Children can travel with a passport, or a school ID / birth certificate as accepted at the border.
- Bhutan: Indian citizens need a valid passport or Voter ID card to get the entry permit, and pay the Sustainable Development Fee set by the Government of Bhutan.
- Trekking and restricted areas: permits are arranged by us with the documents and photos you send in time.
We are not responsible for costs or losses when a traveller is refused entry, a permit, or boarding because of missing, damaged or invalid documents.
Changes to your trip
Changes by you: we are happy to change dates, hotels or the itinerary when possible. Changes are confirmed in writing and may cost extra (supplier charges and price differences).
Changes by us: in the mountains, weather, landslides, road closures, flight delays, strikes, government orders or safety concerns can force us to change the route, hotel or timing – before or during the trip. We always replace services with the closest possible alternative. Extra costs caused by such events (extra nights, meals, alternative transport) are paid by the traveller; refunds for unused services depend on what the suppliers return to us.
Your responsibilities
- Tell us before booking about any medical condition, reduced mobility, pregnancy or dietary needs, so we can plan safely.
- High-altitude trips (Muktinath, Everest region, Kailash, Bhutan passes) need reasonable fitness. Follow the advice of your guide and driver on acclimatisation and safety.
- Respect local laws, customs, religious places and the environment. Keep your valuables and documents safe.
- Be on time for pick-ups and flights. Services missed because of a late arrival cannot be refunded.
We may end the trip of a traveller whose behaviour puts others at risk or breaks the law, without a refund.
Travel insurance
We strongly recommend travel insurance that covers medical treatment, emergency evacuation (including helicopter rescue at high altitude), trip cancellation and loss of baggage. Insurance is not included in our packages unless your quotation says so.
Our liability
We take care in arranging your trip and are responsible for the services we have promised in writing. We are not liable for:
- acts, delays or failures of independent suppliers (airlines, railways, hotels, transport operators);
- events outside our control – natural disasters, extreme weather, landslides, epidemics, strikes, political unrest or government orders;
- personal injury, illness, loss or damage to belongings, unless caused by our own negligence.
Where we are liable, our liability is limited to the amount you paid us for the affected service.
Photos, reviews and communication
